Parent will inform this facility, within 24 hours, of a serious illness or contagious disease in the family including blood related illnesses.

Parent will ensure that the child is free from symptoms before returning to the facility. In the case of a communicable disease, a doctor's approval must be given before returning to this facility.

Facility will notify parents immediately if a child becomes ill or injured. If a parent can not be reached, the alternate person will be notified, or emergency steps will be taken.

Parent will provide any necessary prescription or non-prescription medicine for the child in the original container; and sign a Medication Authorization Form.

Illness
Illness spreads like wild fire through daycare and just as you want your child healthy so do other parents, these “bugs” really take their toll on everyone including me. After seeking advice, I will reserve the right to send everybody home for an undisclosed amount of time. Please notify me if your child contracts something so I may notify the other parents.
Parents bringing children sick without notifying daycare ahead of time, or disclosing such information will be held accountable to all the other families and responsible for their fees, as well as the closure of daycare and my fees. Children with diarrhea or vomiting will not be allowed and will be sent home if discovered at daycare. All children must be up to date with their immunization shots at all times.
We strive to prevent the spread of illness, and your cooperation with our policies will be of great help if you keep your child at home should your child have one or more of the following:
• A fever of 38.0 or greater before child care
• Symptoms or signs of possible severe illness, such as; uncontrolled coughing, irritability, persistent crying, unusual lethargy, wheezing, or other unusual signs
• Strep throat until 24 hours after an antibiotic started
• Diarrhea; runny, watery, or bloody stools within the last 6 hours
• Vomiting 2 or more times in the last 24 hours
• Rash with fever or behavior change
• Scabies or other infestations
• Impetigo 24 hours after treatment has begun
• Chicken pox 5-7 days after blisters appear
• Pertussis, mumps, rubella, shingles, herpetic gingivostomatitis
• hepatitis A- until 1 week after onset
• Sore throat with fever
• Eye discharge (white or yellow) or pink eye; until 24 hours after starting treatment; if treatment is not sought then when the discharge clears
• Child is irritable, continuously crying or requires more attention from a caregiver than what they can provide without hurting the health and safety of other attending children

Sanitizing and Cleaning
Reducing the spread of germs in this facility environment is the best way to prevent illness.
Clean first, then sanitize in a four-step process.
1. Wash
In order to work properly, surfaces should be cleaned before sanitizing, or all the "power" of the sanitizer is used up on the dirt and not the harmful germs (not all dirt is harmful!)
2. Rinse
Rinsing removes the soap, so the sanitizer can work on the germs and is not used up on the soap.
3. Sanitize
Household bleach (without detergents added) is still the best, cheapest and easiest sanitizer available. Mix solution as directed for a 1:10 or 1:100 ratio (other handout)
4. Air dry
This step is needed when using the standard mix solution- 1:100. This allows the bleach solution to be in contact with the surfaces longer (until it evaporates) if you cannot air dry, use a single use towel. Using one large towel to dry everything is not recommended because it can carry germs that aren't killed from one surface to another. The stronger mix solution -1:10- may be wiped off/dried immediately.

Drop-in care should never exceed the hours permitted by the Child Care Center and all the policies, including illness in this handbook do apply. I will take every effort to ensure the safety of your child. Unfortunately accidents do occur. In case of that event, an accident form will be filled out for every detected injury that occurs. A copy with your signature will be retained for your child's file. A child coming into daycare with injuries may require an accident form, so that both the parent and I are aware that it did not occur at daycare.

An incident form will be filled out if your child exhibited behavior that is not acceptable and who does not adhere to the discipline policy. A copy of this form with your signature will also be kept in your child file.

Intoxication
Should you or any of the authorized persons arrive to pick the child up and I suspect that you/ they intoxicated with drugs or alcohol, I am not allowed to refuse to release your child to you, I will first try to arrange other transportation if this fails and you insist on removing the child from care I will call the police and social services.
NAPTIME is usually around 9-10 am and 2-330 pm please arrive and leave quietly.
What I expect from the parents and child
- Call if you are not bringing your child or are going to be late, I have lots of fun stuff planned and if you are late I cannot wait for you and your child will miss out.
- Be on time for pick up, if I have to send someone away because you are late you will be responsible for their fees at another child care providers as well as mine or I may choose to call your emergency contact to come pick up your child.

Meals
All meals served at daycare meet the nutritional guidelines set by the Canadian food guide. This means we follow specific requirements for the kinds of foods served and the way they are served. Arrangements can be made to bring in food for children with special dietary needs established by the physician.

I generally like to serve meals on time. Once in a while they are shuffled into our program for the day. I make a lot of our meals, and most of them are hot. At lunch I start the little ones first depending on the situation. The kitchen is always open especially during growth spurts for a healthy snack.

If children arrive after these times, they need to have eaten already. It is a little frustrating to have to stop and start over as far as infants are concerned, and planning meals becomes difficult with children who may have or have not already eaten. This also becomes unfair to the other children if an adventure is planned and must be delayed or postponed. Also, please keep in mind that we may need to accompany children to and from school. A good variety of food is served throughout the month. Home baking is made often.
Allergies/Picky eaters
Every effort will be made to substitute appropriate foods to each child with allergies, however, if the child requires completely different meals as opposed to simply a different vegetable, the responsibility would be that of the parents, to provide the child with nutrition according to the Canadian Food guide (not pre packaged) meals and snacks from home. If they eat here I promise to try my best to follow/ limit all food sensitive products (as listed) to your child with in reason. (Striking several items from our menu, or subtracting whole food groups is not reasonable, and parents will need to supply food). We do not play “the picky eater game”. Should an allergy be life threatening I am only human, and cannot guarantee that your child will not come in contact with such items. Therefore “Caterpillar Clubhouse” can not be held responsible.
We provide things that the majority of the children like to eat and often it is fresh in fact the children help create the menu. I will have difficulty making a completely separate meal as opposed to a different vegetable or subtracting specific items (like mustard), when all the other children are happy with what they have. If this is an issue we need to work together to find a common ground or you may be asked to provide a freshly prepared (not sent for daycare to make), healthy, well balanced, meal plus snacks. We expect 110% parental support.
Also send along a full set of extra clothes often times we will be messy so make sure these clothes are okay to get dirty or stained.
Emergency Plans
Emergency plans for fire and earthquake are posted by each exit door and are practiced monthly, so that your child is familiar with the drill and not alarmed in case of a real emergency. In case of a real fire the children will be taken to the salvation Army Church 777 Ospika blvd and parents will be contacted immediately, if phone lines are operable.

Planned activities provide ample opportunities for exploration of a stimulating and safe environment. Language development is emphasized with planned and spontaneous opportunities for communication between the staff and the children.

Biting
Biting is common among young children and occasionally it happens while the child is at daycare. It can occur for the following reasons; teething, cause and effect, attention, imitation, stress, frustration, and independence. We know that is can be very uncomfortable for both parties that are involved.

School Aged/Preschool
It is your responsibility to get your child to and from school and/or daycare. However I may accommodate your schedule, getting your child to and from school (via daycare only) for a small charge, on the conditions that the school chosen is that of the majority of those attending daycare.
This charge is not included in monthly fees, but can be paid on the first of every month.
School lunches are eaten at school. Children cannot come to daycare at lunch time as I cannot be escorting them to and from the school at this time.

Our daily schedule provides a balance of quiet and active, indoor and outdoor activities and child and adult initiated activities, as well as promoting gross and fine motor skills. Our planned activities take into account the development of the children. A general schedule for the day care is as follows:
Like most homes, ours has a very flexible routine that changes a little each day according to who is here and when, and what we want to do. Days are typically jammed packed from start to finish. An average day would include, but not be limited to:
Early a.m.
· 7:00ish: Arrival at daycare. Children arriving before 7 a.m. will go back to bed.
· Breakfast
· 8:15ish: Possible school run
· Possible early learning programming/outings. As well we have started home school program that may be done at this time also.
· 10ish: Infant naps. Child’s choice of free play and snack
· Clean up time. Everyone helps.
· 11:15ish: Possible Kindergarten transition

With the exception of outings where everyone would have to be with me, your child will usually have the option to not take part in an activity. At this time, they may choose to continue doing what they were doing, maybe a craft, or an age appropriate TV program, or maybe even just watch the activity the others are doing. However, your child is expected to participate in meals, clean up, and quiet time.
We enjoy action songs, dancing and silly songs. During the summertime we often go out for extended walks, parks, playgrounds, chase the sprinkler, backyard, bubbles, etc. On yucky days, it would be popcorn and a movie day (too windy, raining, etc.). We are usually indoors on hot sunny days (+30 or greater). (Ha!) And on cold winter days (-10 below or greater) trying to ignore old man winter.

Please do NOT send toys from home as they may get lost or broken. Toy guns and weapons are not allowed at daycare at any time.

Child Management
We use positive guidance techniques such as modeling and encouraging expected behavior, redirection, and setting clear limits. "Time Out" is used when necessary, with one minute per year of age used as the maximum time away from the regular activities. Children feel comfortable and confidant knowing expectations match and respect their developing capabilities.

For older children, removal from the action, quiet time by themselves somewhere in the house, or sometimes an eyeball to eyeball chat.
Sometimes these solutions don’t work. If you find a method that works for you, let me know. I’ll do the same for you.
Remind children of the rules.
Intentional property damage is a serious matter. Any cost for repair or replacement for damage done to the building, furniture, or toys will be billed to the child and their parents. If it is not possible to determine who is responsible, the cost of replacement or repair will be assessed equally to all children and their parents.
Incidents of aggressive behavior towards other children or staff will be reported to families in writing. If incidents continue, or when the child's behavior requires a 1: 1 staff ratio for that child (to ensure safety of other children) I will have to cancel my services

Excursions
We travel by public and private means of transportation on outings and trips in Prince George and surrounding areas during the day. Eventually a list of places/ events/ adventures frequented by this daycare will be posted.
Parents must pay for their child’s way when requested.
Parents will be responsible for these fees.
1. Memberships (Bubba Baloo’s and Exploration Place). Each with a very affordable annual membership through us. Buying bulk, we will get a better rate.
2. Lessons are optional and occasionally age specific, must be paid for in advance. Children not participating will stay with me. (Ex: swimming, music).
3. Special events such as community events, movie theatre, and performing arts (ex: Peter Pan), concerts (Charlotte Diamond), and the Symphony.
4. Children not attending any outing for whatever reason will be the responsibility of the parents to make and pay for alternate arrangements. In the event that your child does not join us as scheduled during an outing, daycare with regret, will assume that your child will be absent that day and reserve the right leave without your child(ren). Daycare fees will not be refunded.
5. Parents should try to arrive on time, or a courtesy phone call is necessary. Daycare facility will be closed during this time. Parents are responsible for any transportation arrangements that your child(ren) may require during outings when not in the care of The Caterpillar Clubhouse.
Keep in mind, we often accompany children to and from preschool/school (8:30 - 9ish am, 11 -11:30ish am, 12 - 12:30ish pm, 2:30 - 3ish pm).
Mandatory Child Abuse Reporting
I must report immediately to the ministry of children and families as well as the RCMP when in the course of working with a child, I have the reason to believe that the child has suffered a non-accidental injury as a result of abuse or willful neglect or the child discloses any form of abuse.

Two Week Trial Period
The first two weeks of care, all children and families are on a two week trial run. Please notify us of your intent before 14 days expire from the first day of contract enrolment. You are still responsible for the two weeks of childcare fees. Should things not go as planned you will be allowed to find alternate arrangements immediately. If however, either by necessity or choice you are forced to stay until you have found a suitable replacement, you’ll have the duration of the month to do so. You are then contract bound. No refunds for days remaining in a month.

* Monthly rate is based on a yearly average of 21 days per month inclusive, the monthly rate is not reduced for stat holidays or vacations. All families using 4 or more days per week will be required to use the monthly rate schedule.
Shifts > 10 hours charged regular day rate plus $7.00 for every additional hour per child.NOTE; Additional paperwork required for those needing care for shifts longer than 13 hours at a time.
Part time less than 4 hours / casual / drop in /emergency care will be 3 days or less, 10 hr. maximum

All subject to space availability. Recommend booking early.
Shifts are not guaranteed unless they are booked at least one month in advance cut off by the 1st Saturday of each month. Once you get on the schedule, it’s yours! I only ask that you pay for what you schedule, up front (1st of the month), option to switch will depend on availability.
We are closed for all Statutory/civic holidays therefore fees are double the child’s regular fee should you be privileged to receive care from this facility.
Fees are to be paid regardless of child in attendance or not, (Including, parent/family/personal holidays). Non-refundable, (refer to holidays). Daycare also reserves the right to use any unscheduled or unused (contract or attendance schedule) time frame for emergency/drop-in/ casual/unusual shifts/etc. FEES ARE DUE on the 1st of every month a late fee of $20.00 per day will apply immediately.
I reserve the right to ask for 6 months of post dated checks. Any unused checks will be returned to you, with exception to termination agreements/ or breech of day care policies.
Subsidy
If you qualify for subsidy, you still pay your fees minus subsidy amount. Once you have paid, that is your space (if your child comes or not).

All parents who qualify for subsidy, (Possible 1-3 week wait for approval.) must abide by the regulations of the Child Care Subsidy office. (1-888-338-6622 Call Center, Fax 1-877-544-0699) Parents must correctly complete and submit all appropriate forms, attend appointments required and be approved before attending daycare. (There are situation exceptions.)
Parents need to reapply for subsidy every six months or less. Suggested 30 days before your authorization runs out Maximum 20 days (half and full combined) in total per month allowed for authorization. Conditions apply to half months, and before and after school care. Subsidy pays out once a month, after the service is provided.
It is the policy of this daycare that fees are paid in advance. If you qualify for subsidy, you still pay your portion minus subsidy amount. Once you have paid, that is your space (if your child comes or not). I reserve the right to give any space away that is not paid for in advance of any month. To accommodate subsidy qualifiers, I need either your authorization form or a release statement allowing the Subsidy office to give basic information.
I will be more than happy to add up your fees and subtract the subsidy portion from that total. Children must attend daycare for # of days stated on authorization form otherwise adjustments have to be made. Parents are then responsible for the remaining total monthly sum that subsidy won’t cover including days missed. Note that subsidy only pays for what you actually attend.
It is not the policy of this daycare to refund any subsidy portions back to the parent in this case. This is your space used or not. In order for the government to pay daycare on time (the portion you qualify for), you must have ALL appropriate forms properly filled out. Otherwise your space may be given away or you will be responsible to pay the subsidy portion still owing plus the following month. Subsidy is a legally binding agreement.
I reserve the right to give any space away that is not paid for at the beginning of the month.
There will be a one time $25.00 charge for any NSF cheque. At this time, you are put on cash, unless you catch it before I do and reconcile your account before your mistake effects our financial statements. Sometimes these things are completely unavoidable.
Amendments
Parents will receive two week’s written notice of any changes or amendments to policies.
Parent Holidays/ Summer time
ALL children attending must notify me of their holiday plans by May 31st. You are still responsible for your fees during the summer even if your child does not attend, it is your space as long as it is paid for, should you decide not to pay for the summer you will have to go back on the wait list to wait for an open space. If I can fill your spot temporarily you will not be responsible for your fees.
Holidays not in writing will be considered as unplanned/absent. All of your unplanned holidays, missed days taken by your children, and sick time are not refundable. Parents are still required to pay for their child’s space (Remember: Even if your child is not in the space, I am still holding it for you.)
Provider Holidays
I usually try to take a few weeks off during the year; I will not charge you for these weeks,
1. I typically take one week off starting Christmas Eve though to New Years. I also take a one week holiday during either spring break or early August. I do not expect you to pay for fees during my holidays. If you choose to match your holidays to mine there will be no fees charged as long as the holidays are taken at the same time.
2. 5 family days (Please have backup available)
3. Additional 6 days a year for professional development. (Please have backup available).
4. Sick time, due to personal/family illness or personal injury (Please have backup available).
5. Bereavement leave. In the unfortunate event that a funeral should happen in the providers immediate family, all attending families agree that with out prejudice or penalty, an automatic 2 to 4 weeks leave of absence. Vice versa for parents.
6. Statutory and civic holidays.
7. Parents will be given at least 1 week advanced notice of scheduling single days,(up to 4 days) and at least one months notice for extended holidays (5 plus days), so you can make the best choice for your child. Parents should make arrangements for alternate care at least one month prior to extended vacation times. If help is needed for alternate caregiver arrangements please ask when holidays are posted.
I have alternate caregivers who may come in upon my request (except long weekends) to care for your child, when I am ill, have an appointment, on a day break, or extended holidays assuming that there are at least 5 children in attendance.
Alternate care
All parents must have a reliable alternate for obvious reasons. Available at a moments notice, should I need to close in the middle of the day or your child is ill and needs to be picked up.
All of my alternates are qualified, trustworthy, and will operate to the best of their ability, to mine and licensing standards. Both parents and alternates will treat each other with respect. Know that my alternates are not authorized to accept any changes to our contract including termination, or monies without my consent. Nor will they be authorized to give notice or make any changes in care.

Good Standing
To be in Good standing will result in a full refund, portions thereof or credited to your last month, the space deposit fees. Providing that no daycare policies have been broken, 1 month written notice of termination of care/ change of contract, and that all damages incurred by your child have been replaced or fixed to daycare satisfaction and standards. Family is required to help pay for unnecessary damage caused by your child. Note: If parents help fix the situation (replacement value) either physically or financially, (to daycare satisfaction) they will remain incident free.
Deposit
Often circumstances dictate how to prepare or avoid certain situations. In order to maintain some kind of consistency, I require a space deposit of $250.00 (Instead of a damage deposit and two weeks up front per child). This guarantees you that space(s) and me of your intentions. Due on or before the first day your child attends Your deposit will be well documented and returned to you fully or credited to your last month’s stay providing “The Caterpillar Clubhouse” contract is honored. And will not be refunded should there be any fees outstanding, any unresolved damages, or improper notice given.
Change of shifts/jobs and varied shift users/overtime
I will do my best to accept changes to shifts as long as there is room in the age group for your children and the hours fit into our daily routines
OVERTIME
There will be a $15.00 charge at the start of the hour/child for every hour of overtime that your child is in my care past their scheduled hours.
Termination of Care
Written notice must be given one month in advance (the first day of the last month you require care). In lieu of one month’s notice, if contract is honored. You may pay one month’s fee, less space deposit (if still in good standing). Also, in the event that should The Caterpillar Clubhouse ever permanently close/retire (excluding holidays) without 1 months written notice, all prepaid fees will be prorated, minus days honored and refunded back to the parents.
Your child may be discharged if:
• A problem continues which negatively affects other children in attendance at The Caterpillar Clubhouse, such as threats directed towards children, staff or self
• Failure to meet The Caterpillar Clubhouse’s policies

Contract changes
Due to our crazy lifestyles, society demands that we, as a family need to be flexible. I am very happy to accommodate any changes to your child care requirements. However, due to budgeting reasons I require 1 month’s written notice of changes, accepted on the 1st of the month.
Pet policy
In our home we will have pets, currently we have a dog. She is a border collie cross and will have all her shots up to date. Children will be introduced to her gradually and will never be left unattended with the dog. Children must wash hands after petting the dog. Dog waste will be picked up prior to any outside play.

Parents are to give advanced notice when a child is scheduled to be away or notify by phone if the child will be late or unable to attend daycare. Failure to do so forces assumed absence and will continue on with programming. Parents are responsible to check the posted calendar daily. A note will be posted on the door ONLY for an unplanned event/emergency and we are expecting you. Keep in mind that we often accompany children attending preschool and school. Parents are responsible for their own arrangements in the event that their child needs to be separated from the other children (illness), unable to participate on outings, tardiness, or for emergency situations (hospitalization in the care givers family). Fees will not be refunded. All parents must have a reliable alternate for reasons stated, available at a moments notice, and used upon my discretion. Parents should make arrangements for alternate care at least one month prior (except long weekends) to posting of holidays. Daycare is closed. Upon my request alternate caregivers may care for your child, when I am ill, have an appointment, on a day break, or extended holidays. (except long weekends.)
